The same-day turnover is the norm for short-term rentals in Milan: the guest leaves at 10, the next one arrives at 3, and in between the apartment has to look like the first day again. On paper that is five hours; in practice, between a guest leaving at 10.40, the trip from one apartment to the next and the final check, the useful time is less than it seems. A standard turnover takes about two hours with a cleaner and a runner: the rest is margin, and margin is built beforehand.
In this guide we look at which times hold up for a same-day change, what has to be ready before the cleaner walks in, how the day is organised when there is more than one apartment and what happens when something moves. We write as the people who organise these shifts every day.
How many hours are there really between a check-out and a check-in?
Five hours between 10 and 3 become three or four as soon as you take away the things that always happen: the guest leaving a few minutes late, the time to reach the apartment, the end-of-visit check, the report. If there are other apartments the same day, those hours are split between several changes and the order in which they are done becomes decisive.
That is why a same-day turnover is not improvised in the morning: it is prepared with check-out and check-in times written in the listing, with linen and supplies already in the apartment, and with a work sequence decided on the real check-ins of the day, not on the order in which messages arrive.
Which check-out and check-in times hold up for a same-day change?
The most common times in short-term rentals, check-out by 10 or 11 and check-in from 3 or 4, are no accident: they leave a window of four or five hours in which a complete turnover fits with margin. Narrowing the window (check-out at 11, check-in at 2) is possible on a single apartment, but with several properties on the same day it removes precisely the margin that absorbs delays.
The practical rules we recommend to those managing in Milan: write the times in the listing and repeat them in the welcome message; grant late check-out only when there is no arrival the same day; grant early check-in only after the turnover is closed and the report has arrived, never «if you manage». A time that changes at the last minute is the first cause of failed turnovers.
What has to be ready before the cleaner walks in?
The time between one guest and the next is for cleaning and resetting, not for shopping or waiting for the laundry. For a same-day change to hold up, some things must already be solved when the cleaner opens the door.
- A clean linen set for every bed already in the apartment, in a closed cupboard separate from the guests' linen
- Clean towels for the number of arriving guests, plus a reserve
- Enough toilet paper, kitchen roll, soap, coffee pods and dishwasher tablets to avoid emergency shopping
- The welcome kit already assembled, the same at every check-in
- The access method defined and working: keys handed to the team or the system you already use for guests
- The apartment's information in its file: bed layout, specific standards, what to check
How do you organise the day across several apartments?
With one apartment, one time is enough. With five or ten, the same-day turnover is a sequencing problem: you start from the apartments with the nearest check-in, account for travel between one area of Milan and another and give every change a margin for surprises. The runner does the linen and supplies round in parallel, so the cleaner never waits for material.
The sequence is built on the booking calendars: we sync them on Krossbooking or Google Calendar and organise the day's shifts on the real check-outs and check-ins. What happens if the guest leaves late?
It happens, and it is not a drama if the rule is decided beforehand. The first step is communication: as soon as the host knows about the delay, they tell the turnover team, who reschedule the shift within the day and say at once whether the next check-in is at risk. The second step is to warn the arriving guest, with a realistic time, before they turn up at the door.
What does not work is waiting: a forty-minute delay at 10 is recovered by moving a change; the same delay discovered at 1 pm is not. That is why we ask hosts to tell us as soon as they know, and why the end-of-visit report with date and time also serves to prove at what time the apartment was ready.
Which check-out rules should you write in the listing?
Check-out rules are not there to make the guest work instead of the cleaner: they are there so the apartment is found in a predictable state, so the minutes are spent cleaning and not looking for keys or emptying the fridge. Few rules, clear, repeated in the message the day before.
- A precise check-out time, and what to do if a few extra minutes are needed (ask, do not assume)
- Where to leave the keys or how to lock up, with the access method you use
- Waste in the right bins, following the municipality's separate collection
- Dishes in the dishwasher or the sink, not scattered around the rooms
- Windows closed, lights and air conditioning off
- Report any damage or breakage at once, with no penalty for those who say so
How do we do it?
